There are a ton of reasons that couples choose a destination wedding – they want to have an adventure, the location has a special meaning to the couple, it’s less expensive than a traditional at home location, or they simply want to reduce their guest count. Whatever your reason, we’d love to be your choice when planning your destination wedding.


While most couples are excited about their destination wedding, it’s tough to know where to start! With literally over a million travel websites and tens of thousands of sites where you can book hotel rooms, flights, and excursions, the options can be daunting.


The great news is that you don’t have to waste your time with any of those things! Our experienced staff of travel planners can help you every step of the way – from engaged to “I Do”.

We have personally been to more than 70 properties and resorts and have intimate knowledge of popular Mexico & Jamaica locations – Cancun, Playa del Carmen, Riviera Maya, Cozumel, Tulum, Puerto Vallarta, Cabo, Ocho Rios, Negril, Montego Bay, and more. Our team sells Mexico & Jamaica because we know Mexico and Jamaica! And we will never recommend a property we are not personally familiar with.






Now, let’s have a little Q&A –


Q.) What’s the process for booking a destination wedding?


A.) Here’s how that works –


1.) You call us at #512-955-1320 or email us and we spend some time talking on the phone.


This is the start of the discovery process. We’ll want to talk to both of you – that way we’re all on the same page and we don’t miss any important details!


We’re going to ask you all kinds of questions – preferred dates, number of anticipated guests, what locations you’re interested in, ceremony and reception details, overall spending plan, and a lot more. We want to know as much about your wedding wants and desires as we can, so we can help you plan your perfect wedding!


2.) Once we have all of your info, we get to work! We’ll contact some of the most logical resort options, review wedding details, date options, room block pricing information, and more. It’s a really fun and exciting process!


3.) You’ll decide on the locations you’re most interested in and we’ll discuss the specifics with you – things like reviewing and confirming room block pricing contracts, working out any special details you might have, confirming what is and is not included, make any changes, etc. And when you’re in love with all the details, we work with you to confirm the group booking for rooms and events.


4.) Now you make the initial deposit to book your wedding and rooms.


5.) Once booked, the resort becomes your main contact for your wedding details. They will assign you an on site wedding coordinator.


Your guests will have one point of contact to book and confirm rooming details, make payments, etc. (that’s us) – relieving you of a ton of work! They’ll call us – not you – with questions, payments, etc so you can focus on your wedding and not on room blocks and travel!


As your wedding date gets closer, the on site wedding planner will contact you and will work with you to help you choose all the fun stuff – the flowers, the DJ, your photographer, the menu, and more. They’ll go through a discovery process with you all well, about all things wedding vendor related. From your answers they’ll put together a package for all of your requests – from the type of bouquet you want to carry down the aisle to how you want the tables and chairs set up at the reception.





Q.) Since the resort has an on site wedding planner, why would we use Yellow Umbrella Events as our on site event planner? What are the benefits?


A.) For some of our couples the resort’s on site wedding planner is sufficient to handle all of their needs. If you have pretty “standard” requests and your wedding is not overly extravagant you’re probably fine to work directly with the resort’s on site wedding planner. This works well for about 50% of our clients.


But if one of these sounds more like you –


1.) You’re more particular (possibly a little type A)


2.) Have specific requests that are important to you


3.) You might want to bring some of your own vendors from the US


4.) You’re having more than 50 or so guests (20 or more total rooms)


5.) You’re planning multiple events over a few day period (Indian weddings, for example)


Then you’d benefit greatly from having our staff as your on site destination wedding planner.

We will work with you directly to plan all of the details of your wedding day, create a detailed design plan, work directly with the hotel staff to finalize and execute your event details, ensure that your events and wedding day details are set up according to your specifications, build the timeline of the day’s activities for you and your guests and help this to run more smoothly, attend the final on site walk through with you and the resort, execute the timeline on the day of the wedding, help with after wedding details, and more.


If you choose us as your full service destination wedding planner, we’re with you from the beginning of the process, every step of the way, and until after the wedding day.

Q.) How much does it cost to hire Yellow Umbrella Travel to plan our Destination Wedding?


A.) Our venue location and room block service is offered at not charge and includes –


– Assistance in choosing the perfect property for you

– Arranging your room block contract
– Personalized wedding website page with wedding and travel/room block details for your guests
– 1 dedicated room block and travel planner contact, to personally help each of your guests confirm their rooms and travel details.


If your plans change and you ultimately decide to go another route with your wedding, we simply assess a $1,500 service fee. If you move forward with your destination wedding, with our help, the fee is waived.



Q.) If you don’t charge a fee, then how do you get paid?


A.) Travel planners work on commission, paid directly to the travel planner, from the resort you end up choosing for your destination wedding.



Q.) Does that mean that our travel will cost more?


A.) No, actually, it doesn’t cost any more to use us as your travel planner for your destination wedding. In fact, you’ll likely save more than planning on your own and you’ll often get some extra perks thrown in because you called us first.


You see, the resorts kind of love us travel planners because they know that when we call, we’re for real. We’re not kicking tires. We’re not goofing around. We’re calling because we have actual clients that might actually stay in their resort, bring a bunch of their friends, host their wedding at their location, use local vendors, and more. So they set aside funds to pay travel planners for these legitimate clients.



You know what happens if you don’t use a travel advisor to book your destination wedding? The resort pockets that fee as extra profit and you pay the same amount you would have anyway – without any potential perks you could have gotten if you have used a travel advisor. And you have to do all the work yourself, with zero help from a pro. Sad for us and sad for you. 🙁



Q.) Will you be at the resort to handle all of our details on site during our wedding?


A.) No – and Yes!


No, we don’t always attend the destination weddings that we help you book travel for. After we help you with the travel and rooms for you and your guests, we connect you with the resort assigned event coordinator that will help you with your wedding details.


And Yes, we can be your full service on site wedding planner for your wedding, if you’d like. About half of our clients choose this option. And if you have a large guest count or are planning multiple days of events, it’s your best choice. For Full Service and on site planning, our flat planning rate of $6,000 plus travel expenses applies.
